The Administrative Business Partner is the behind-the-scenes superstar that allows Collectively to deliver the highest possible value to their clients through consistency, engagement, and attention to detail. 

There are four main objectives for this role:
Supporting the Founder & CEO by providing dependable, high-level executive assistant support, including managing schedules, appointments, reminders, and follow-up communication with clients;
Supporting the Project Manager on operational functions, including maintaining systems and processes to streamline workflows;
Managing invoicing and payroll, and;
Ensuring that everyone who engages with Collectively is well taken care of, whether they are vendors, partners, clients, team members, or new connections.

The Administrative Business Partner is a detail-oriented multi-tasker, a highly-organized professional, as well as a positive, versatile, self-motivated, and confident juggler of a high volume of varied responsibilities. 

This role will report directly to and work closely with Molly Rodau, Founder & CEO of Collectively.

Current Opening: Administrative Business Partner

Compensation:
  • This will be a 1099 position to start 
  • $30-35/hour 
Schedule:
  • 10-20 hours/week to start
Location:
  1. This is a remote-first position, with priority given to candidates in the Maplewood, NJ or greater NYC area. 

  • Bring passion, creativity and ideas to a people-centered company;
  • Provide administrative support to the Founder & CE);
  • Provide administrative support to for the general operations;
  • Handle multiple sophisticated calendars in a fast-paced environment, and prioritize commitments to enhance time and productivity;
  • Coordinate with external bookkeeper to ensure timely and accurate books;
  • Work both autonomously and in collaboration with teammates, colleagues, and external stakeholders;
  • Manage payroll and invoicing;
  • Support hiring and onboarding; 
  • Conduct research when needed;
  • Contribute to creating a work environment that inspires success, promotes bold ideas, and is committed to learning and evolution


WHAT YOU'LL BRING TO THE TABLE:

  • An innate ability to self-manage and organize a daily to-do list and understand/execute priorities;
  • Communication skills to help you work with various people, personalities, multiple timelines/calendars, and a fast-paced environment;
  • Discretion and professionalism in handling sensitive information;
  • Ability to creatively problem solve;
  • Ability to understand new, potentially complex issues quickly and make wise decisions;
  • Proactively manage up and see problems before they happen;
  • Ability to inspire confidence and create trust;
  • A commitment to being a life-long learner;
  • Advanced skills in Google Suite;
  • Basic understanding of (or willingness to learn) web-based infrastructure and office tooling such as Survey Monkey, MURAL, Calendly, Airtable, Gusto, etc;
  • A cell phone, computer, and access to high speed, high quality internet.
